Grants Update

As we approach the new fiscal year, it is important to take note of the 2024-2025 Grant and Scholarship Schedule. The schedule is intended to encourage members to mark their calendars and prepare their annual budgets as the grants and scholarships are awarded on a first-come, first-serve basis. If applications are not sent in early, the funding may be distributed to other members.

Grant Eligibility Dates:

The grant eligibility period for the 2024-2025 fiscal year begins July 1, 2024, and closes April 1, 2025.

Whether you have already purchased qualifying items or plan to purchase new items, you have options! Public Entity Partners recommends that you file and save all receipts for eligible items so that when you receive the “Approval Notification” letter, you can submit them and be reimbursed immediately.

If you choose to purchase new items after receiving the “Approval Notification” letter, please send in the receipts before the April 1 deadline. Otherwise, you will have to re-apply for the next fiscal year and sign the “Grant Release Form,” which opens funding for other members.

Submitting Receipts:

If you are submitting multiple reimbursement packages, please forward each request in separate emails to TMitchell@PEPartners.org.

Please be advised that reimbursement packages will not be issued unless they are complete and contain the following documentation:

1.      Notification of Approval letter from Public Entity Partners.

2.      Signed Resolution/Motion, which should be completed no later than 1.5 months after the application is submitted.

3.      Cover sheet that lists the description of items purchased, quantities and grand total of all purchases. All receipts must follow in the order of the cover sheet.

4.      Two proofs of payment, which must include:

1)      Either a copy of canceled/cleared check(s) from the bank, credit card receipt(s)/statement, automated clearing house (ACH), or automated funds transfer (AFT).

2)      Copy of invoice or purchase order.

Notification Letters:

Given the popularity of our Grants program, members are often placed on the “approved pending” list due to the delay in applying. Because grant applications are accepted in the order in which they are received, the timing for submitting your application is imperative for receiving funding.

Each year, Public Entity Partners forwards three letters to remind our members to submit reimbursement receipts for each grant approval. If your organization receives a reminder letter, this indicates we have not received your package.

If for whatever reason you are unable to use the awarded funding, we ask that you please let us know as soon as possible so we can send you the Grant Release Form. Public Entity Partners strives to be fair to our membership, and having notice that your organization is unable to use the awarded funds allows us to pass along the grant money to other members on the approved pending list.

Our Grants program was formed to help our members purchase items and training that encourage a culture of safety. It is our hope that the items and training purchased through our Grants program will aid in the mitigation of claims.

A challenge that comes along with the Grants program is members not using all of their awarded funding. Because all of our grants are 50/50 matching grants, we will only award members half of what they spent. If you are awarded funding, please use all of it. We have other members on the approved pending list who are on standby awaiting their opportunity to send in their complete reimbursement packages.
